e- tenders are invited through www.etenders.kerala.gov.infor the Annual Maintenance Contract (AMC) for the Online bar code / QR code / variable data printing system attached with our Goss WS – D 598web offset printing machinewith the detailed technical specificationand terms and conditions attached.
A. Technical specification of the system:
1. Print Head details : Kodak "Pros – S (10) series – Jetting module – 4.2" 2. Print width : 782mm (4.25" upto 30.8") 3. Speed Our Goss WS – D 598 web offset printing machine operating speed: 25,000 -30,000IPH
B. Services to be provided
1. To maintain the machine/system according to the manufacturer's guidelines 2. To undertake regular preventive maintenance
i. 12 visits per annum (1 visit per month) by an authorized service engineer ii. Should cover complete inspection in idle time, cleaning of the heads, software bugs checking and rectification if any.
3. To cater to breakdown maintenance
i. Whenever required during the entire contract period. ii. First service call should be attended by local team immediately. iii. Next service support within 24 hours
4. Replacement of spare parts –
i. within 12 hours if the required parts are available in Indian market ii. otherwisein case of import, within 48-72 hours (The list of spares showing whether it is locally available or to be imported should be enclosed in the offer).
iii. Spares and consumables for the Online bar code / QR code / variable data printing system should be kept in stock and have to update the details with KBPS on first working day of every week
5. Whenever a service engineer visits KBPS for preventive or breakdown maintenance, a service report should be submitted to KBPS for acceptance and signature by the authorized personal. 6. Includes replacement of all the required spare parts like PIC box, DIB boards, Filters, electrical and mechanical components etc. and manpower services excluding supply of consumables like print heads, fluids and inks.
7. Whenever a new spare comes to KBPS, it should be shown to the concerned officer at the time of unboxing. C. Terms and Conditions
1. All tenders/bid shall be accepted only through online mode (https:// etenders.kerala.gov.in) and no manual submission of the same shall be allowed.
2. EMD for Rs. 1,00,000/-be remitted through online, as per the terms and conditions of the e-tender site. The benefits will be limited only to the MSMEs which are working within the state of Kerala (G.O (P) no. 10/2023/SPD dated 11.12.2023)
2 KERALA GAZETTE Part IV ____________________________________________________________________________________________________________________________3. The successful bidder should furnish a Performance Security of ₹5,54,000/- and execute an agreement for the due performance of the contract.
4. Re - submission of offer is possible, before the last date as permitted in the site. 5. Offers are acceptable only up to 11.00 am on 17.08.2026 6. Opening of bid is scheduled at 11.30 am on 18.08.2026 7. Prices should be quoted F.O.R KBPS, Kakkanad, Ernakulam, Kerala 8. The offer should be valid up to 3 monthsfrom the date of opening of the tender. 9. The contract will be for a period of one (1) year from the date of signing, but the Management reserves the right to shorten/ extend the contract at the same rate quoted in this e- tender.
10. If advance payment is requested, it shall be made only on a half-yearly basis (at the beginning of each half-year). The successful bidder shall submit a Bank Guarantee for an amount equivalent to the advance payment before the advance is released.
11. The near relatives of employees of KBPS are not eligible to participate in the tender. The relationship for the purpose of rule will be as specified in Stores Purchase Manual of Kerala (extract given as Annexure A). The scanned copy of the declaration (annexure B) in this regard, duly filled and signed should be submitted online.
12. The scanned copy of agreement in Rs. 200/- Kerala stamp paper duly filled and signed shall be submitted online and subsequently the original in a separate cover should reach the office of the undersigned on or before the opening time of the tender.
13. The successful bidder shall furnish a Performance Security of ₹5,54,000/- for the due performance of the contract and execute an agreement on a ₹200/- Kerala stamp paper, valid for 14 months, as per the specimen agreement (to be provided along with the Work Order), incorporating the terms and conditions applicable to the work, within 10 days from the date of the Work Order.
14. If, during the course of maintenance, the contractor is required to remove the equipment or any of its components from the Purchaser's premises for repair, testing, overhaul, or any other purpose, the contractor shall, before taking possession of such equipment or components, furnish a suitable Bank Guarantee or any other security acceptable to the Purchaser, if required, to safeguard the Purchaser's interest. The equipment or components shall be returned in good working condition within the stipulated period.
15. Bidders are requested to quote rates in the price schedule (BOQ) only. The basic rate (including all costs as stated above), GST should be quoted separately in the respective columns of BOQ. Please do not quote/mention rates anywhere else in the tender other than BOQ.
16. The purchaser reserves its right to terminate the maintenance contract at any time without assigning any reason. The contractor will not be entitled to claim any compensation against such termination. However, while terminating the contract, if any payment is due to the contractor for maintenance services already performed in terms of the contract, the same would be paid to it as per the contract terms
17. In case of any dispute or differences pertaining to this tender or the corresponding AMC contract the sameshall be referred to a sole arbitrator to be appointed by the Managing Directorof KBPS and the venue of Arbtiration shall be at Ernakulam. The provisions of the Arbitration and Conciliation Act, 1996 will govern such proceedings. The Courts at Ernakulam alone shall have jurisdiction over the subject matter of this agreement.
18. All the rights to accept or reject whole or part of the tender without assigning any reason thereof is reserved by KBPS. The decision of KBPS will be final and binding on the tenderer.
19. All the rules and regulations of the Tender/bid shall be in accordance with the Stores Purchase Manual of the Government of Kerala.
